 View a copy of the Apprentice/Mentor Application Form.  
This form is used to register Apprentices and their Mentors for the event. Your organizing committee should make every attempt to ensure Apprentices have their Mentors in place at the time of submitting their application. Also, the application form allows you to gather important planning information such as the gauge of shot gun that the Apprentice will be using, the need for hunter orange and to communicate other pertinent details about the event.

The organizing committee should send a copy of this letter to all the Apprentices a month before the event date. This letter should be used to provide information about the event, expectations and anything they need to bring such as licences, hunter orange etc.

This information sheet should be laminated and a copy given to the field Marshals as part of their information package on the event day. These rules should be reinforced throughout the day with particular attention to muzzle control at all times and no shooting of birds on the ground.

A photo like this should be used to orient the dog handlers and Marshals to the site and be included in their information package. Your organizing committee should highlight potential safety issues such as the location of roads, other fields that are being hunted as part of the event and access routes.

Field Marshals and dog handlers should be given a copy of this field map as part of their information package. The Marshal can use this map to orient their group to the property, the field where they will be hunting and any potential safety issues.

This form should be sent to all volunteers and participants with a request to return a signed copy prior to the event authorization use of the picture on promotional materials including web sites, posters, thank you cards etc. Also, have your photographer double check with volunteers and participants before taking any pictures and be sure to get their names for the caption.

Your local Ontario Ministry of Natural Resources should be contacted three months before the event to initiate the approval process for releasing pheasants into the wild for hunting purposes, which includes filling out and returning the attached form.
 

Advertising and Promotion

These posters which are 11 ½” X 17” should be printed and distributed at lease six months before your event, preferably before the start of the turkey season in April. Sporting stores that sell hunting equipment and licences, and hunter safety instructors should be the main recipients for advertising purposes.

Copies of the brochure and application forms should be given to the sporting good stores and hunter safety instructors to help recruit participants.

This type of sign (3 feet by 4 feet) posted three or four months in advance of your event can work well to help recruit Apprentices and  volunteers.

The organizing committee should send a thank you card similar to this template to all the Apprentices as an alternative to the certificate of appreciation. This will be a nice gesture for their participation, and if eligible, an invitation to come back next year.
