Soon after the event, the planning committee should meet with selected volunteers who helped out with the event to complete a formal review of the day’s activities. Your group should provide answers to two basic questions; what went well and how could we improve with respect to planning and safety. A note taker should compile this information into a report that also includes an overview, objectives, financial summary, partners and other pertinent details related to your event.

The wrap up meeting is also an opportunity to formally recognize the sponsors of your event. You might want to present a framed certificate to them as a gesture of thanks and that you look forward to working with them again the following year. Signed thank you cards are also appropriate and should strongly be considered as a mail out to Apprentices, Mentors and volunteers at your event.
